Terms and Conditions for Empower Online Therapy Group

Overview

These Terms and Conditions outline the agreement between Dr Charlotte Ord (“Facilitator”) and participants (“Client”, “You”) enrolling in the 6-Week Online Therapy Group, Empower (“the Group”). By registering, you confirm that you have read, understood, and agreed to these terms.

Nature of the Group

  • This is a therapeutic group, not a substitute for individual psychological or medical treatment.

  • The group is psychoeducational and process-oriented, providing evidence-based therapeutic approaches to support participants’ mental health and personal growth.

  • Participation requires emotional readiness to engage respectfully with other group members and to maintain confidentiality.

Confidentiality

  • All participants agree to keep the identities and shared experiences of others strictly confidential.

  • Sessions will not be recorded to protect the confidentiality and anonymity of the group’s participants.

  • The facilitator will maintain confidentiality in accordance with professional ethical standards (HCPC), except where:

    • There is a risk of harm to self or others;

    • There is a legal obligation to disclose (e.g., safeguarding concerns, court order).

    • Child abuse has been disclosed.

    • A court subpoena is received for your records.

    • Information is disclosed regarding an act of terrorism.

    • A miscarriage of justice may occur.

In such instances where confidentiality may need to be broken, I will always endeavour to discuss this with you first.

Attendance and Commitment

  • The Group runs for six consecutive weekly sessions, each lasting approximately 90 minutes via Zoom.

  • Your commitment to attend all six sessions is encouraged for therapeutic continuity.

  • The full fee is payable regardless of attendance, as your place is reserved for the duration of the program.

  • Missed sessions cannot be refunded or rescheduled.

Payment and Fees

  • The total cost for the 6-week program is £397 payable in full prior to the first session.

  • Payment confirms your place and acceptance of these Terms and Conditions.

  • If payment has not been received before the start date, your place may be forfeited.

Cancellations and Postponements

  • The group requires a minimum number of participants to run effectively.

  • If the minimum number is not met, the facilitator reserves the right to postpone or cancel the group.

  • In this case, participants will be offered:

    • A full refund, or

    • The option to transfer their place to the next available group.

  • Once the group has commenced, no refunds will be issued except in exceptional circumstances at the facilitator’s discretion.

Participant Conduct

  • Participants agree to engage respectfully and refrain from disruptive, discriminatory, or harmful behaviour.

  • The facilitator reserves the right to withdraw participation for any client whose behaviour compromises the safety or therapeutic environment of the group.

  • In such cases, fees are non-refundable.

Technology and Privacy

  • Sessions will take place via a secure online platform (e.g., Zoom).

  • Clients are responsible for ensuring a private, distraction-free environment, a steady screen, and a stable internet connection.

  • The facilitator is not liable for technical difficulties on the participant’s end.

Clinical Suitability

  • Participation is suitable for individuals who are emotionally stable enough to engage in group therapy.

  • This group may not be appropriate for individuals currently in crisis, experiencing active suicidal thoughts, or requiring intensive clinical intervention.

  • The facilitator reserves the right to assess clinical suitability prior to confirming participation and may refer a client to alternative support if necessary.

Contact Between Sessions

  • The facilitator is not available for ongoing therapy or crisis support outside scheduled group sessions.

  • In the event of distress between sessions, participants should contact their GP, NHS 111, or emergency services, or reach out to crisis helplines such as:

    • Samaritans: 116 123

    • Shout: Text 85258

Data Protection

  • Personal data will be handled in accordance with UK GDPR and the Data Protection Act 2018.

  • Data will only be used for clinical and administrative purposes related to your participation in the group.
